Refund & Cancellation Policy

1. Scope & Application

This Refund & Cancellation Policy applies to all professional technical consulting services, diagnostic audits, telemetry pipeline setups, and advisory retainers provided by Flow Vertex Core Co., Ltd. (“Company”, “we”, “us”, or “our”) to corporate and individual clients.

As a specialized engineering practice delivering dedicated senior engineering labor, laboratory hardware time, and bespoke architectural specifications, our policies reflect the customized nature of technical consulting engagements.

2. Diagnostic Audit Deposits & Cancellation Terms

Pre-Kickoff Cancellation (Full Refund)

Clients may cancel a scheduled diagnostic audit by providing written notice via email at least 5 business days prior to the agreed-upon project kickoff date. In such cases, 100% of the initial deposit will be refunded, less any non-refundable international wire transfer processing fees incurred.

Cancellation After Kickoff / Work Commenced (Partial Refund)

If a Client requests cancellation after repository access has been provisioned and diagnostic lab work has commenced:

• The initial 50% deposit covers allocated senior engineer scheduling, initial code repository analysis, and sandbox environment configuration, and is non-refundable.
• The remaining 50% milestone fee will not be invoiced or collected, and the engagement will terminate immediately.
• The Company will provide all preliminary diagnostic notes, test traces, and code findings generated up to the date of cancellation.

3. Rescheduling & Timeline Adjustments

Clients may request to reschedule an audit kickoff date up to 3 business days prior to the scheduled start date without incurring penalty fees. Rescheduling is subject to available engineering team capacity within the subsequent 60 calendar days.

4. Milestone Acceptance & Non-Refundable Items

• Completed & Delivered Milestones: Once a technical diagnostic report, code pull request, or architectural specification has been presented and accepted by the Client, the corresponding milestone fees are final and non-refundable.
• Monthly Advisory Retainers: Monthly consulting retainers cover allocated on-call engineering hours within a specified calendar month. Unused hours do not roll over to subsequent months and are non-refundable once the billing month commences.

5. Refund Request & Processing Procedure

To submit a formal refund or cancellation request:

1. Submission: Send written notice to info@flow-vertexcore.click including your company name, Statement of Work (SOW) reference number, and reason for cancellation.
2. Review: Our finance department will review the request against delivered project milestones within 3 business days.
3. Processing & Disbursement: Approved refunds are processed within 7 to 10 business days via the original method of payment (international SWIFT wire transfer or local Thai bank transfer).

6. Client Cooperation & Access Delays

Timely delivery of our diagnostic audits depends on prompt provision of agreed-upon prerequisites (repository read permissions, sample push payloads, sandbox gateway credentials). Delays resulting from missing client credentials do not constitute grounds for refund, though engagement timelines will be extended accordingly.
